Throughout 2019, we have surveyed members of the education community across the country to find out what document and communication challenges are being faced by K-12 schools. Our survey found that the number one challenge being faced is the storage and retrieval of documents electronically.
Why is electronic document storage and retrieval such a challenge?
Document storage and retrieval is such a big challenge because of the number of document types, volume of documents, regulatory requirements and the sensitivity of information captured in the documents being stored.
Many schools are still in the process of moving workflows from paper to electronic models. This requires a large change management effort across the school community.
In many instances a hybrid document management model involving paper documents in conjunction with electronic documents exists and some electronic filing methods do not allow for quick and easy retrieval of documents. This is not ideal.
This challenge can be summarised in one word - digitisation.
The challenge of digitisation
Digitisation has been a buzz word for many years and has been mentioned in this blog many times. Digitisation has moved beyond being a trend that can ‘help make life easier’ to something that needs to be done to ensure that school operations are able to efficiently cope with the everyday demands of staff, students and parents.
Examples of the types of document intensive processes that are being digitised are accounts payable and receivable, student registration and supplier contract management.
What can be done to address this digitisation challenge?
There is not a one size fits all approach to meeting the challenge of improving the storage and retrieval of digital documents.
